The Kamuzu University of Health Sciences (KUHeS) is a recently-established university, following the amalgamation of the former College of Medicine and Kamuzu College of Nursing. In pursuit of its aim to  “impart knowledge and produce transferable skillsby engaging in teaching, learning, research and consultancy and application of knowledge, skills and aptitude to meet the professional needs of society at national, regional and global levels”  the Kamuzu University of Health Sciences, in collaboration with the London School of Hygiene and Tropical Medicine (LSHTM) is implementing a project titled  Innovative Management PRactices to Enhance hoSpital quality and Save lives in Malawi (IMPRESS).  The project aims at identifying optimal health facility management practices to improve care of sick newborn babies and will be implemented in 36 health facilities in Malawi. The project is seeking the services of a Coordinator to support the day-to-day operations of the project.

Job Summary

Reporting and accountable to the Principal Investigator, the post holder will be responsible for supporting the administrative and financial operations of the IMPRESS Project, which includes managing the day-to-day activities of the project, coordinating and linking all activities in Malawi with an international project team, ensuring that the needs and requirements of the funding agency is adhered to, ordering and managing stocks, supervising site/study staff, and maintaining site/study records according to the procedures and principles of Good Clinical Practice and Human Subjects Protection. He/she will work in liaison with the Grants Compliance Officer, Grant Accountant, HR Manager/Officer, Stores Manager, Procurement Manager, Transport Manager and Data Manager.

The successful candidate will be offered a 2-year contract, with possibility of renewal upon satisfactory performance.

Key Duties and responsibilities

  • Coordinates the preparation, amendment, review and approval of sub-agreement with LSHTM
  • Liaises with the Research Support Centre (RSC), Finance Office and other relevant KUHeS offices to ensure that KUHeS strictly adheres to the financial and administrative obligations outlined in the IMPRESS project sub-agreement between KUHeS and LSHTM.
  • Assists the project in preparing monthly expenditure projections and management account reports.
  • In liaison with the Research Support Centre and Finance Office, prepares administrative and financial progress reports for review by the local IMPRESS Management Team before submission of the same to the KUHeS Management or LSHTM.
  • Assists the PI in preparing appropriate legal paperwork (e.g. staff contracts and terms of agreement)
  • Liaises with the LSHTM Project Coordinator in organizing IMPRESS Steering Committee meetings and ensure that accurate minutes are taken and circulated on time.
  • Assists the PI in organizing monthly local project management meetings and prepares and circulates accurate minutes.
  • Ensures optimal communication among the study investigators based in Malawi, London and elsewhere
  • Provides administrative and logistical support to the local project team, research fellows and students.
  • Prepares comprehensive action plans, including resources, timeframes and budgets for projects.
  • Provides administrative and logistical support for field visits and stakeholder consultation meetings organized by study team members
  • Reviews monthly workplans and progress reports prepared by field teams, research fellows and students before submission of the same to the PI.
  • In liaison with the RSC Grants Compliance Officer and Project’s Grants Accountant, monitors the project’s financial status and ensures that the project’s financial reports are up-to-date and all expenditure records are stored safely for future audits.
  • Sets up and regularly updates an inventory of the project’s resources and ensure timely procurement and storage of study resources
  • Creates and maintains comprehensive project documentation, plans and reports
  • Directly supervises the study administrative assistant and driver and  assisting the Principal Investigator in conducting performance appraisal of the study staff.
  • Performing other related duties as required by the site PI.


  • Master’s degree in a health or social science-related field
  • At least 1 year experience in a research or academic institution.
  • Experience coordinating research projects in academic institutions
  • Excellent communicational skills including written and verbal English
  • IT competence (Word, Excel, Internet)
  • Proven experience with team and financial management of donor-funded grants.
  • Those with knowledge of research concepts, practices and procedures, and regulatory requirements, will have an added advantage.
