Training and Research Unit of Excellence (TRUE) is seeking to recruit, highly motivated and hardworking Procurement Assistant to be based in Blantyre. The appointment will be on a fixed-term basis of two years, which may be renewed depending on performance and availability of funds.

Job Summary: Under the leadership of the Procurement Officer and Chief Operations Officer, the Procurement Assistant will provide administrative support for the procurement department within TRUE according to TRUE procedures and policies.

Duties and Responsibilities

Duties shall include but not limited to the following;

  • Actively assist the sites with monitoring current inventory, ordering supplies, and scheduling deliveries to ensure that all sites have sufficient amounts of necessary materials or equipment.
  • nalyze Purchase Requisition information (PR) for accuracy, completeness and clarity before converting to Purchase Order (PO).
  • Monitor and follow-up of Purchase Orders for timely responses.
  • Source quotations from suppliers as per user specifications.
  • Conduct bidding in compliance with TRUE policies, procedures and operating guidelines.
  • Negotiate purchases for best value and service and make savings for the business.
  • Verify that product and shipping information, cost, and delivery dates are all correct before placing an order.
  • Receive, monitor and verify supplier deliveries for correct items and amounts as per PO and contract.
  • Submit the complete purchase orders and supplier invoices to finance and monitor payment terms as agreed with suppliers.
  • Maintain vendor files and set up all new vendors agreements.
  • Assist the procurement officer in the annual procurement plan, prequalification of supplies and reports.
  • Manage and maintain procurement information records.
  • Any other duties assigned from time to time.

Qualifications, Required skills and Abilities.

  • Diploma in purchasing and supply / supply chain and management.
  • Two (2) or more years of related work experience.
  • Good communication skills.
  • Team work.
  • Accuracy and integrity.
  • Strong understanding of Malawi Laws governing procurement Issues.
