To accomplish its mission, PSI Malawi is inviting applications from suitably qualified candidates to fill the following vacant position;

Warehouse Coordinator-Lilongwe

Reporting to the Supply Chain Manager, the incumbent will be responsible for coordinating all warehousing processes including; item receipt, record keeping, stacking, monitoring inventory levels, spot checking, stock counting, handling fuel and reconciliations.

Specifically, he/she will be required to perform the following duties and responsibilities;

  • Prepare and submit a monthly stock update for review highlighting expiry dates and slow movers
  • Coordinate all the warehousing activities for main warehouse including weekly spot checks and monthly stock counts
  • Arrange stock transfers to regional and field warehouses at the right time to avoid stock outs
  • Prepare and submit an aggregated stock summary for all warehouses for review at the end of each month
  • Replenish, record keep and disburse fuel in smartcards and prepare a fuel reconciliation summary at the end of each month
  • Ensure that QBE balances for CTL match with physical stock taken at the end of each month
  • Prepare and submit a warehouse space charge sheet at the end of each month
  • Orient staff, assess their performance and provide feedback through midyear and year end appraisals
  • Ensure that all warehouse documents are completed and archived properly on a daily basis
  • Prepare and submit a supply plan report for review on a monthly basis
  • Receive and transfer inventory in QBE immediately after every stock movement
  • Ensure that all subordinates keep their stock records up to date by close of business every day
  • Ensure that all subordinates utilize their leave days within the contract period before they are forfeited
  • Monitoring expiry dates for stock items ensuring that nothing gets expired in the warehouse
  • Ensure that inventory is stored as per storage guidelines stipulated in the inventory manual
  • Ensure that batch numbers are properly recorded in the warehouse

Qualification, Knowledge, Ability and Skills

  • Applicants must have a degree in Logistics and Supply Chain Management or Procurement or any other related field with at least 5 years’ experience in Inventory Management
  • Computer skills in Microsoft excel is a must
  • Must have worked in a busy warehouse using a web-based stock management system
  • Should have experience in handling health commodities and medical supplies
  • Willingness to work odd hours
  • Be a team player and of sober habits
  • Ability to understand different donor requirements
  • Good oral and written communication skills
  • Be emotionally intelligent and have the ability to interact with a diverse set of program teams
