United Purpose (UP) Malawi is an international non-governmental organisation working to create opportunities for lasting improvement in peoples’ lives. We work in partnership with others to support a range of livelihoods and food security, WASH and health, sustainable energy and gender equality programmes reaching over 1,000,000 people a year across Malawi. Globally, we work in nine countries across Africa, Asia and South America, however our Malawi programme is the largest country programme. UP currently operates in 17 districts in Malawi, supporting over 30 on-going projects, with a total staff of over 180 working across five impact areas: Resilient Lives; WASH and Healthier Lives; Sustainable Energy; Gender Equality and Emergency Response.

UP therefore invites applications from suitably qualified and experienced persons to fill the following vacancy:

IT ADMINISTRATOR (1 x based in Lilongwe Office)

Job Purpose :
The primary purpose of this role is in the areas of computer operations, user and desktop support (hardware and software), helpdesk, and data management. The IT Administrator shall be responsible for managing of all IT issues for the Malawi Program. S/he monitors, operates, or coordinates and assists others in the operation of computer hardware, software, and peripherals in order to achieve desired results.

Key duties and responsibilities:

  1. Data Security management
    • Maintaining a central data repository for accessing by the entire organization while maintaining data security
    • Conducting periodic reviews of data integrity in the system and advises users on errors and omissions
  2. Network, hardware and software Management
    • Management of the Office Network, Internet connections and WAN connections to field offices
    • Ensuring that all software are properly licensed in time
    • Supporting sage Payroll and Sage accounts systems
    • Leading in deployment of new systems
    • Act as the first contact point for ICT service providers
    • Monitoring and maintaining computer systems and networks across the organization
    • Troubleshooting diagnosing and solving network problems and issues related to ICT equipment across
    • Creating & Updating records on different database applications (Salesforce, among others used within the organization).
  3. Disaster recovery management
    • Performing data backups for all systems
    • Maintaining a vibrant Disaster Recovery Plan
    • Performing business continuity tests
    • Administering security and back up procedures for Local Area Network servers.
  4. Office equipment management
    • Ensuring standardization of ICT equipment bought by the organisation by providing guidance/support to IT Procurements
    • Maintaining an updated IT asset register
    • Managing Service Level agreements and contracts for IT Vendors and service providers
    • Installing and configure computer hardware operating systems and applications
    • Providing general ICT support to staff both at Head office and district level.
  5. Troubleshooting Systems and hardware problems.
  6. Providing support, including procedural documentation and relevant reports where necessary
  7. Inducting staff on ICT related issues and take staff through a series of actions, either face to face or over the telephone or via Skype/MS Teams to help set up systems or resolve ICT issues
  8. Testing and Evaluating new technology where necessary
  9. Setting up new users’ accounts and profiles and dealing with password issues across the organization.

Successful candidates will have:

  • At least a University Degree in Information Technology, Computer Sciences or any other related disciplines.
  • IT service management skills in a diverse cultural environment
  • A minimum of 4 years relevant working experience in an advanced IT Office set up.
  • Practical knowledge of computer operations and experience in supporting Microsoft office packages, LANs, telecommunications and Network equipment and other ICT hardware.
  • Previous experience in supporting sage payroll and accounting systems
  • Understanding of various email protocols
  • Experience or exposure of CRM database such as Salesforce
  • Good communication skills in both verbal and written form
  • Ability to prioritize tasks and meet deadlines
  • Excellent software and hardware troubleshooting skills
  • Analytical skills with the ability to problem solve
  • Ability to work with minimum supervision.
  • Good communication skills and ability to update Deputy Country Director on arising IT issues.
