Job Description

Group Administrator  – 1 post based in Blantyre (initial 8 months contract with the possibility of renewal)

Job Summary

The incumbent will be responsible for administrative duties for the Pediatrics group and project management support for all projects hosted within the Maternal Health group.

Responsibilities

DUTIES AND RESPONSIBILITIES

1. General Administrative Duties

? Act as first point of contact for the Group, with both outward and inward facing duties.
? Liaise with all MLW departments and other Groups including Director’s office and governance functions.
? Provide administrative support for the Group, particularly supporting the Group Head’s diary and professional administration.
? Offer administration advice for other individual PIs / academicians within the group.
? Support communication and cohesion within the group across cadres and across projects, particularly for those working flexibly or from home.
? Organize/arrange group related meetings and events diary, and organize and facilitate workshops, retreats or training events when needed.
? Lead organization of meetings, including diary bookings, room preparation and projection, e-communications and teleconferencing, agenda preparation, minute taking and following up on action points.
? Maintain filing system and group records and reports, and draft or contribute to reports as requested.
? Arrange and coordinate local and international travel logistics for the Group Head and provide travel / transport support to group members as requested.

2. Operations (Finances, Property, HR)

? To ensure that a database of staff files in the group is kept up-to-date including the monitoring of staff leave, contract periods, holiday, line management structures, grant salaries, positions and disciplinary issues.
? Support recruitment by the Group following best practice and MLW HR guidelines and policies.
? Ensure that funds for the groups research (petty cash) are accounted for and replenished according to MLW Financial procedures.
? Ensure that there are no stock outs of group materials, in liaison with procurement and investigators on each project.
? Ensure that transactions are initiated and tracked through the usage of Serenic System.

Requirements

Personal Specifications
• Excellent interpersonal and communication skills, including a proven ability to establish and maintain effective working relationships with individuals from different cultural and ethnic backgrounds.
• Good organisational and problem-solving skills, with an ability to identify and resolve issues and prioritise workloads working with minimal supervision.
